User Roles¶
Overview¶
There are two levels of permissions in the Interview Suite:
- Account Types - users’ permissions within their organisation (account level)
- Interview Roles (Project Roles) - users’ permissions within a specific interview/project (interview level)
Each user has a single account type, but participates in different interviews (projects) according to the roles assigned to them in each interview. The account type reflects system-wide permissions (e.g. the ability to change account settings, manage other users, create and manage interviews). The interview roles (project roles) reflect permissions within each interview (eg. the ability to invite a new candidate or rate candidates’ answers).
Account Types¶
A user can only have one of the following account types. Each account type has all the rights and permissions of lower account types:
Account Owner¶
This user is the highest level in the hierarchy and can create and delete all other account types (excluding additional Account Owners - these must be created by viasto’s Helpdesk). They have default permissions for all possible actions and access to all settings and interviews. There should normally be only one owner.
Account Administrator¶
In most cases a team lead and the head of recruiting. Usually manages recruiters. Can define and manage the interview suite setup and behaviour.
Has permission to change most settings, customisations (eg. design settings), and can monitor whole account activities and interviews.
Account administrators can create and maintain other recruiter and hiring manager users.
Recruiter¶
Usually in charge of selection processes and day-to-day recruitment decisions. Has permission to create and maintain interviews, and assign roles to other users within the interviews.
Recruiters can create and maintain other hiring manager users.
Hiring Manager¶
Works in the hiring department, mainly on the evaluation process. Cannot create new interviews and is mostly included in the evaluation process only.
Server user¶
Used on system level only, usually for integration with other systems, such as synchronization bots, periodic tasks, etc.
Has ability to manage users with account types recruiter and hiring manager and permission to authenticate on behalf of other recruiters and hiring managers.
Note
A server user cannot be assigned an interview role.

A server user can only be created by viasto.
Interview Roles (Project Roles)¶
Interview roles are used to give a user administration rights for a single interview or to allow them to rate candidates in a single interview. They have no effect outside the interview (project) in which they apply.
A user can have more than one interview role in the same interview, with some exceptions.

Interview manager¶
This role is in charge of managing a specific interview.
- Can invite, remind, change deadline and delete candidates;
- Can see all results directly (unless they’re also an evaluator, in which case they can only see the results of candidate they’ve already rated);
- Can see candidate answer videos
Evaluator¶
Can rate and comment on candidate answer videos.
A candidate’s results are visible as soon as an evaluator has finished rating the candidate.
Reviewer¶
Reviewers can see candidate answer videos but cannot evaluate. Also:
- they cannot manage the candidates (e.g. invite, remind or delete)
- they cannot see evalution results
